Front Desk Supervisor


Reports To: Office Manager
Status: Non-Exempt
Compensation: Hourly with potential for monthly incentives

Position Overview:

The Front Desk Receptionist Supervisor at Rosin Eyecare is responsible for managing and directing the work flow at the front desk assigned to the receptionist. The supervisor is also responsible for greeting patients, answering phones, appointment reminders, outbound phone calls, scheduling patients, administrative functions, and providing superior customer service.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Plan and assign workloads for front office associates
  • Supervise associates in their assigned job duties
  • Assist in hiring and training associates in front office duties
  • Provide the staff development that is needed for their direct reports
  • Evaluate the performance of associates and provide appropriate feedback
  • Ensure associates follow company policies and operational procedures
  • Greeting patients
  • Address customer concerns and complaints promptly and professionally
  • Respond to customer needs and requests in a timely manner
  • Scheduling appointments
  • Calling patients to confirm upcoming appointments
  • Calling patients to notify product is ready for pick up
  • Scanning and data entry
  • Pretesting for doctor(s)
  • Able to dispense and adjust eyewear
  • Maintain a clean working area
  • Use of a Lensometer
  • Basic understanding of  billing third party online
  • Basic understanding of calculating patients benefits
  • Performs any other duty or assignment delegated by proper authority

  • High school diploma or general education degree (GED) and 1 year supervisor and customer service experience; or equivalent combination of education and experience.
  • Ability to comprehend, retain, and follow oral and written instructions. Must exercise good judgment and work independently. Must effectively set priorities. Good organizational skills.
  • While performing the duties of this job, the employee is regularly required to sit and talk or hear. The employee must occasionally lift and/or move up to 10 pounds. Specific vision abilities required by this job include close vision, depth perception, and ability to adjust focus.
  • Ability to work independently or as a member of a team. The noise level in the work environment is usually quiet.
  • Must be able to read, write, and communicate effectively in the English language. Must be able to effectively present information and respond to questions from patients, personnel, and the general public.
  • Above average ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
